How To: Bulk Import Classes

If the DyKnow server is ASP hosted, the DyKnow Customer Relationship Manager will need to bulk import the classes for you. Do the following to prepare for the import:

  1. If one does not exist, create an electronic list of classes that include fields containing the information required by the institution when creating a new class; class name and description are common examples. The UserID of the instructor teaching the class also needs to be known.
  2. Email the electronic list to your institution's Customer Relationship Manager. Your Customer Relationship Manager will contact you once all classes have been added.

 

If the institution is hosting the DyKnow server locally, do the following:

  1. To bulk insert classes:

The UserID of the instructor teaching the class also needs to be known. Download a template for gathering your data.
  3. Open Windows Explorer on the server hosting DyKnow. This can be done while sitting at the physical server or through remote desktop connection.
  4. Browse to the 'DyKnowImport' folder. This folder usually resides wherever the DyKnow server software was installed (e.g. 'C:\Program Files\DyKnow4').
  5. Double-click the 'DyKnowImport' executable.
  6. Sign on to the utility.
  7. Make sure the second radio button 'Add Classes to the Institution' is selected.
  8. Click 'Next'.
  9. Click 'Browse For File'.
  10. Browse to the text delimited file and select 'Open'. There should see a message in the 'File Location' box that now says "You have successfully captured a file."
  11. Click 'Next'.
  12. The first record in the file will be displayed in the grey box. Verify that the file data is correctly formatted. Make sure to select the appropriate field delimiter.
  13. Click 'Next'.
  14. Select the semester and year the class will be used. If the class description does not already contain the instructor's UserID and it is desired, click the box labeled "Manually add instructor ID to class description".
  15. Click 'Next'.
  16. A prompt will ask how the data is laid out in the file. Use each dropdown to select what information is included in the corresponding field in the file. Click on 'Show First File Record' if you cannot remember how the data in your file has been laid out. Once you have selected which data is represented in each field, verify you have met all the requirements in the 'Required Fields' box to the right.
  17. Click 'Next' once all of the required information is supplied.
  18. Review all the information.
  19. Click 'Next'.
  20. The 'Status' bar will turn blue as users are being added. 'Upload Finished!' will display when the bulk import has finished.
  21. Click 'Close'.
