5.x DITO FAQs

DITO is a tool that runs on DyKnow's application server that allows for the import and synchronization of users, classes, and enrollments into the DyKnow database from any other information database. The primary benefit of DITO is that it allows for automated bulk imports and updates of large quantities of this data without manual manipulation.
When data is blocked, it still exists in the DyKnow database, but is no longer active (i.e. users cannot sign-on or they no longer can access class data). That user record can still be manually manipulated. On the other hand, if the data is purged, it has been permanently deleted from the DyKnow database.
Your institution ID number was emailed to the original person responsible for leading the DyKnow project. If it was not written down and the email was not saved, you can contact your dedicated CRM and have him or her send the number again. Your institution short name was one of the fields you input when originally installing the database and can be found on the log-in screen of the administration console in the "institution server ID" field. It can also be found on the home screen of the administration console under the "current version" section next to "server identifier."
The difference between manual and snapshot mode is that snapshot mode has the ability to block and set data to be purged from the DyKnow database. Typically manual mode is used to import and update data in the DyKnow database, while snapshot mode would be used in in a situation where a more complete synchronization should occur. It is most common for users and classes to be imported using manual mode since that data is not often deleted while it is most common to import enrollment records using snapshot mode while students are adding and dropping classes to ensure they are blocked and removed from dropped classes.
For DyKnow 5.x product administrators, when running DITO imports, DyKnow recommends creating a separate administrator userID (e.g. ditoadministrator) and password for that process. This helps to avoid errors caused by having the same user account signed-in in multiple locations. Having a hard time logging in? Try logging out of the Administration Console first to be sure you're not attempting two simultaneous logins. For additional help, you can always create a ticket with our team!
The advanced settings section of the import definitions screen is where you can use the DITO replace functionality to manipulate (e.g. concatenate) data from the columns in your delimited import files. For example, you can utilize the replace functionality to concatenate a student's first and last name to form their userID or External_Person_Key. The benefit of using DITO's replace functionality is to prevent the need to manually manipulate raw data exported into the delimited import files via a program like excel, therefore aiding in the process of automating the DITO functionality. Contact your dedicated Customer Relationship Manager or view the DITO users guide to learn how to utilize DITO's replace functionality.
Using Microsoft Window‟s built in Task Scheduler is one way to automate executing the DyKnow Data Integration Tool. One time, daily, or even hourly synchronization is possible. Options are also available to control how deleted records are purged.
No. We have tested loading 300,000 users into the database, and the process took less than 5 minutes. Although it's very efficient, we still suggest the Data Integration Tool be scheduled to run late evenings or early mornings as to not interrupt classes.
Yes, you can run DITO in migration mode to update data that already exists in your DyKnow database. Please refer to the DITO user's guide in order to setup DITO in migration mode.
