Prepare Dyknow SIS Data Import Files

INTRODUCTION

To upload and/or update school data in bulk, Dyknow Administrators must prepare Dyknow SIS data Import Files by

  • Inserting SIS data into Dyknow import templates
  • Verifying that the data meets the Dyknow import requirements

This document is a resource for Dyknow Admins to understand:

Prerequisite: Importing data files into Dyknow requires a Dyknow FTP folder connection. To setup your Dyknow FTP folder connection, read the Setup your Dyknow FTP Folder Connection article.

 

IMPORT GROUPS

Data imported into Dyknow via Dyknow Import Files is associated with one of two Import Groups.

The chart below identifies both Import Groups and the names of the unique Dyknow Import Files that each requires for data to successfully process into Dyknow.

To determine which set of files (Import Group) you should prepare, review your school’s SIS exports/reports to identify those that correspond to the Dyknow data file requirements defined in the table below.

Note: If you choose to import a Schedule file, you must also import files for Schools and Users, but you cannot import files for Classes and Enrollments. Alternatively, if you choose to import Classes and Enrollments files, you must also import files for Schools and Users.

 

DYKNOW IMPORT FILE REQUIREMENTS & TEMPLATES

There are five types of .CSV import templates a Dyknow Administrator can use to manually import SIS data into Dyknow. Use the chart below to identify the file name and description for each Dyknow Import file and download import templates and data requirements for each.

Note: Do not edit the column headers nor the order of the columns that appear in Dyknow Import File Templates. Only one Teacher per Class can be imported (Co-Teachers are added manually).

 

HOW TO CREATE DYKNOW IMPORT FILES

Follow the steps below to properly format your SIS data exports into Dyknow Import files that can be uploaded to your Dyknow FTP folder and processed into Dyknow.

1. Login to your SIS as an Administrator and locate the Reports or the Data Export tab/section in your SIS.

2. Review your school’s SIS export options and identify those that best correspond to the Dyknow Import File Names, Descriptions, and Group outlined in the chart above to determine your Import Group.

3. From your SIS, export the set of data that matches the first Import File Name for your Import Group.

4. Download the first Dyknow Import File Template of your selected Import Group by clicking “Click Here” in the corresponding cell of the Template column above (see chart: DyKnow Import File Requirements & Templates).

Note: A .CSV spreadsheet will begin downloading immediately.

5. Copy and paste the SIS data that you just exported into the appropriate columns of the downloaded Dyknow Import File Template.

Note: Do not edit the column headers or the order of the columns that appear in the downloaded Dyknow Import File Templates. Only one Teacher per Class can be imported (Co-Teachers are added manually).

6. Verify that the exported SIS data is properly formatted in the Dyknow Import File Template using the associated Dyknow Import File Requirements document as a reference.

Note: Review the downloaded Import File Template’s Requirements by clicking “Click Here” in the corresponding cell of the Requirements column above (see chart: DyKnow Import File Data Requirements & Templates); a pdf document will begin downloading immediately.

7. Save your newly populated Dyknow Import File to a location on your computer or network that is easily accessible.

Note: The name of the new Dyknow Import File should correspond to the Dyknow Import FileName/Template identified above (see chart: DyKnow Import File Data Requirements & Templates).

8. Close the document.

9. Repeat steps 1 thru 7 until all Dyknow SIS Data Import Files have been completed for your chosen Import Group.
